Objective: Learning to operate the program, "PastPerfect," and updating the current membership information for spelling errors, as well as adding new members from the previous year, and the Voter list for Block Island for 2010, and enter in their contact information.
Activities/Resources: Using program, “Past Perfect” to enter past and present members information to database, writing drafts/final version of letter with Director to be included in the membership packets.

The following screen shots are from a program called, "PastPerfect," used in small and large museums. This program allows the user to upload membership/contact information, images of artifacts and accessioned items and allows users to design documents such as letters or donation receipts. For this objective, I was in charge of taking a stack of membership cards, from the 2010 and 2011 membership years, as well as the Voter list for Block Island for 2010, and enter in the necessary information.

In the screen shot above, each member is added to the system by entering in such information as: Salutation, First name, Middle Initial, Last Name. You are also allowed to enter in their Company name, but for this project, it was not necessary. After clicking "Add" at the bottom right hand corner, you have the ability to edit this information as well as adding more, such as the member's address, phone number, email, member status, & payment history, donation history, and other qualifying details.

In this second screen shot, I used myself as an example. After adding in the basic information listed above, I was then allowed to enter in my membership dues, which then shows up at the bottom of the screen when you view my "Membership" tab. One of the great things about this program is that you can search for members individually by every possible descriptor, but also in a group. If I wanted to find all of the members from the year 2010, I would be able to do a search and they would come up collectively. This comes in handy when Pam (my supervisor and the Director of the museum) needed to print the labels for letters and event mailings, keep track of donations or to simply edit a change of address or phone number.
